Two types of documentation

The documents prepared for every shipment

Within the same logistics flow, delivery documents and accompanying documents play different roles. The first are used to prepare the order and hand it over for delivery; the others travel with the goods and relate to the transport or the type of product.

Delivery documents

These are the documents prepared to process and ship the order, based on WMS data and the agreed delivery method.

  • AWBs – generated or printed from the order data, depending on the integration with the courier service.
  • Shipping labels – attached to the parcel or pallet prepared for delivery.
  • Shipment handover documents – prepared to the flow agreed with the client and the delivery partner.

Documents accompanying the goods

These are the documents that travel with the goods after they leave the warehouse, set according to the destination, the type of delivery and the applicable requirements.

  • Delivery note – prepared when the shipment requires it.
  • CMR – used for transports that require this document.
  • Other accompanying documents – documents specific to the goods, the destination or the client's requirements, when they are part of the agreed flow.

After order picking and, where needed, packing and labelling, the documents are matched to the products, quantities and recipient before shipment.

The types of documents, how they are generated and who is responsible for issuing them are set for each client, based on the operating flow and the contractual requirements.

Flow control

How documents are prepared and matched to the shipment

The data for delivery documents comes from the processed order and the flow configured for the client. Accompanying documents use the information needed for that shipment, based on the type of goods, the destination and the agreed requirements.

The WMS keeps the link between the order, the allocated stock and the operations carried out in the warehouse. The information used for stock management and order preparation then feeds the generation or printing of documents and their matching to the shipment.

Before the goods are handed over, documents can be checked against the order data and through scan control, where the client's flow includes this step.

FAQ

Frequently asked questions about delivery and accompanying documents

Both parts of the service are explained separately: the documents used to prepare the delivery and the documents that travel with the goods.

  1. What is the difference between delivery documents and accompanying documents?

Delivery documents are prepared to process the order and hand it over for delivery, such as the AWB and the shipping label. Accompanying documents relate to the goods being shipped, such as the delivery note or the CMR, when these are required.

  2. Which delivery documents can be generated or printed?

Depending on the flow set for the client, we can prepare AWBs, shipping labels and other documents needed to hand the order over to the courier or the operator collecting the shipment.

  3. Which documents can travel with the goods when they leave the warehouse?

Depending on the type of shipment, we can prepare delivery notes, CMRs and other documents specific to the goods, the destination or the requirements set for the client's flow.

  4. When is the delivery note prepared?

The delivery note is prepared when it is part of the documentation needed for that shipment. The data and how it is issued are set according to the agreed flow and the responsibilities agreed with the client.

  5. Can the CMR be prepared together with the other shipment documents?

Yes. For shipments that require a CMR, it can be included in the flow of documents for the goods, based on the information available for that delivery.

  6. How are documents matched to the goods prepared for shipment?

The data comes from the processed order and the information managed in the WMS. Documents are matched to the products, quantities, recipient and shipment before the goods are handed over.

  7. Can we use our company's own documents and formats?

Yes. The types of documents, their format, the data used and how they are generated or printed are set according to your company's requirements, the connected systems and the contractual responsibilities.
